Package tours and holidays
1. Scope and definitions
These general terms and conditions of sale (GTC) apply to the sale of package tours and holidays offered by the association Pyrénées Connexions to consumers, within the meaning of the French Consumer Code, pursuant to Articles L.211‑1 et seq. of the French Tourism Code.
They apply to any stay organized by Pyrénées Connexions (language immersion, yoga retreat, singing course, etc.), as described in the specific trip sheet provided to the participant prior to booking, which supplements these GTC.
The holidays and trips organised by Pyrénées Connexions are offered exclusively to members of the association.
All holiday bookings require membership of the association for the current year, in accordance with the terms and conditions set out in the internal regulations.
“Organizer” refers to the Pyrénées Connexions association.
“Participant” refers to any person registered for a stay.
“Service provider” refers to any external partner (accommodation provider, transporter, instructor, guide, etc.).
2. Pre‑contract information and trip sheet
Before booking, the participant receives a trip sheet specifying in particular:

the destination, dates, and duration,
-
included services (accommodation, meals, activities, supervision) and those not included,
-
the organiser is not subject to VAT,
-
payment terms (deposit, balance),
-
the minimum and maximum number of participants,
-
accessibility conditions (notably for persons with reduced mobility),
-
any physical contraindications or level requirements (e.g. level of French).
The trip sheet and these GTC together form the travel contract.
3. Access conditions and accessibility
Stays are generally open to adults (aged 18 and over), unless otherwise stated in the trip sheet. A specific level (linguistic, physical, artistic, etc.) may be required and is indicated in the trip sheet.
Pyrénées Connexions strives, whenever possible, to offer adapted stays or to adjust reception conditions. The level of accessibility (accommodation, access, activities) is clearly indicated in each trip sheet, and participants are encouraged to contact the organizer beforehand to ensure the stay corresponds to their situation.
The participant undertakes to inform the organizer, before final registration, of any allergies, special diets, medical conditions, or contraindications likely to affect participation. The organizer reserves the right to refuse registration if safety or the proper running of the stay cannot be guaranteed.
4. Registration, contract, and payment terms
Registration is carried out by written exchange (email or form) and transmission of the trip sheet and these GTC.
Registration becomes firm and final once both conditions are met:

written acceptance of these GTC and the trip sheet, and
-
payment of a deposit of €600 within the specified time frame (unless otherwise indicated in the trip sheet).
The balance is due no later than 21 days before the start of the stay, unless otherwise indicated. Any registration made less than 21 days before departure must be paid in full upon booking.
Accepted payment methods (bank transfer, cheque, online payment, etc.) are indicated in the trip sheet and/or on the registration summary. Any bank charges are borne by the participant.
In the absence of payment of the balance within the specified time frame, the organizer may consider the booking cancelled by the participant, with cancellation fees applying as set out in Article 6.
5. Price
The price of the holiday includes, where applicable, the annual membership fee for the association, which is clearly indicated on the registration documents.
The price includes only the services described as “included” in the trip sheet (accommodation, meals, activities, supervision, etc.).
Unless otherwise stated:
-
transport to and from the meeting point is at the participant’s expense,
-
personal expenses, drinks not included, optional activities, personal insurance, and any local taxes are not included.
Prices are quoted in euros. No VAT is charged, as the organiser is not subject to VAT. The organizer reserves the right to adjust prices before registration depending on partner costs, without affecting contracts already concluded.
6. Cancellation / Modification
6.1. Cancellation by the participant
Any cancellation must be notified in writing (email or letter).
Unless otherwise stated in the trip sheet, the following cancellation fees apply:
-
More than 30 days before the start of the stay: refund of 80% of the total amount.

Between 15 and 30 days before the start of the stay: refund of 50% of the total amount.
-
Less than 15 days before the start of the stay: no refund.
Participants are strongly encouraged to take out travel/cancellation insurance covering medical, family, or professional reasons preventing departure.
6.2. Cancellation or modification by the organizer
The organizer may cancel the stay in the following cases:
-
minimum number of participants not reached (as specified in the trip sheet),
-
safety, health, or force majeure reasons (extreme weather, exceptional events, etc.),
-
impossibility of providing essential services under reasonable conditions.
In this case, the participant will be offered either:
-
a rescheduling to another stay or date (subject to the participant’s agreement), or
-
a full refund of amounts paid, without further compensation.
The organizer also reserves the right to make minor changes to the program (order of activities, instructors, adaptation to local conditions) without altering the nature or substance of the stay.
7. Insurance and liability
Each participant must have valid personal liability insurance and is strongly advised to obtain travel insurance covering at least cancellation, medical expenses, repatriation, trip interruption, and baggage damage.
Technical or specialized activities (hiking, yoga, workshops, guided tours, etc.) are carried out by independent professional service providers holding their own professional liability insurance.
The organizer cannot be held liable for:
-
accidents or damage occurring outside scheduled activities or due to failure to follow safety instructions,
-
loss, theft, or damage to personal belongings,
-
harm caused by one participant to another, to a provider, or to a third party,
-
defaults attributable to a third‑party provider when the organizer has exercised due diligence in their selection.
The organizer’s liability remains governed by the provisions of the French Tourism Code relating to the sale of package travel and holidays.
8. Conduct and exclusion
The stays are based on values of respect, kindness, and conviviality.
The organizer reserves the right to exclude, without refund, any participant whose behavior:
-
endangers their own safety or that of others,
-
seriously disrupts the stay,
-
shows disrespect toward locations, providers, or other participants (violence, discriminatory remarks, drunkenness, vandalism, etc.).
Early return costs are then borne by the participant.
9. Personal data
Personal data collected (contact details, registration information, relevant health/allergy information) are processed by the organizer solely for:
-
managing registrations and stays,
-
communicating practical information, and
-
potentially sending information on future stays, unless the participant objects.
This data is never shared with third parties for commercial purposes. Participants have the right to access, correct, or delete their data by writing to the association’s address listed on the trip sheet.
10. Complaints – mediation – disputes
Any complaint concerning the stay must be reported as soon as possible during the trip so that the organizer can seek an on‑site solution.
After the stay, any complaint may be sent in writing to Pyrénées Connexions within a reasonable period, setting out the facts and including any supporting documents.
In case of a persistent dispute, the consumer participant may use a consumer mediation service once a competent mediator has been appointed by the association, in accordance with the French Consumer Code (this information will appear in an updated version of these GTC).
These terms are governed by French law.
Failing amicable settlement or mediation, disputes shall be submitted to the competent French courts.
